IPTA Virtual Assembly of Representatives

We invite you to join us from 7- 9 pm on Thursday, July 30th for IPTA's Virtual Assembly of Representatives Meeting.

Dear Member,

Annually, our association holds our annual meeting, the Assembly of Representatives, which is attended by members who are elected by their districts.  We were forced to cancel this year's meeting due to the pandemic but, in accordance with the Illinois Not-for-Profit Act, we must do so within six months of the close of our fiscal year.  Our window to hold the annual meeting expires June 30th and the state has not provided any emergency exceptions or variances to this rule, since the state law provides the option for the meeting to be conducted virtually.  The remedy for not holding the meeting within the specified time frame, and without any penalty to the association, is to have the meeting as soon as possible.

With the announcement that the state can move to phase 4 which increases gatherings to no greater than 50 and not much likelihood that an in person meeting of 150-200 Assembly representatives will be allowable any time soon, the Board of Directors has made the difficult decision to conduct the Assembly virtually via zoom and as soon as possible in order to be in compliance with state law.

Our bylaws require at least 30 days advance notice of the annual meeting be sent to members and, for this reason, this is your notice that the IPTA plans to hold the Assembly of Representatives on Thursday, July 30, 2020 at 7pm.  The meeting will be conducted virtually via zoom.

Assembly representatives are asked to register in advance of the Assembly so that we can be assured a quorum will be virtually present.  All members are invited to view the Assembly and may register with the "guest ticket" during registration.

We recognize that the virtual format has limitations and is not our first choice for conducting this important meeting.  Please be assured that we will be working to develop better in person and/or virtual options for the 2021 that will be in compliance with state health regulations in place next spring.  In the meantime, the purpose of this meeting is to fulfill our obligation to hold one as a not-for-profit corporation and in accordance with our bylaws.  While at the time the stay at home order went in place for Illinois there was new business in development for the 2020 Assembly agenda, the motion makers have asked that their business be held for the 2021 Assembly.

A this time, the draft agenda for the 2020 Assembly of Representatives is as follows:

I.  Call to Order
II.  Introduction of Officers of the Assembly
III.  Introduction of Guests in the Virtual Gallery

    • Diversity, Equity and Inclusion: Next Steps for IPTA
    • Clinical Experiences Post Pandemic:  Challenges and Opportunities
    • Telehealth:  What Have We Learned so Far?

We recognize that these have been challenging times for you and we are trying to minimize the impact of this governance activity on your schedule by holding it on a weeknight and with a scaled down agenda.  This does not mean we don't think it is important.  In fact, listening to our members discuss current challenges to practice is of utmost importance and we expect the virtual discussions to be the primary benefit of holding this annual meeting.  We hope you will join us.

Due to the importance of ensuring that a quorum is present, arranging seating and reporting counts to the facility, the Chapter Office will establish a deadline for registration to attend the Assembly of Representatives.
